Privacy Policy
Three Recruitment ("Three", "we", "us") is a Brisbane-based technology recruitment agency. We help people find permanent and contract roles, and help organisations find people. This policy explains how we collect, use, store and share personal information, and how you can access, correct or ask us to delete it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Information we collect
We collect information that is reasonably necessary for recruitment and related services. For candidates and contractors this usually includes:
- your name and contact details;
- your CV and the information in it: work history, skills, qualifications and certifications;
- work rights and security clearance status, where relevant to a role;
- salary or day-rate expectations, availability and notice period;
- notes from our conversations and interviews, and feedback from clients about your applications;
- referee details and reference feedback, collected with your agreement;
- for contractors placed through us, the details needed to engage and pay you.
For clients and business contacts, we collect names, roles, contact details and information about the roles you are recruiting for.
We don't ask for sensitive information such as health, racial or ethnic origin, religion or sexual orientation unless it is genuinely needed for a role and you consent, or the law requires it. Our candidate assessment tool is designed not to record or use these kinds of information, or age or gender, even if they appear in a CV.
How we collect it
Mostly from you directly: when you send us your CV, speak with us, or apply for a role. We may also collect it from public professional profiles (such as LinkedIn), job boards, referrals, referees you nominate, and our clients.
How we use it
- to assess your suitability for current and future roles, and contact you about opportunities;
- to put you forward to clients, which we only do after discussing the role with you;
- to manage contractor engagements, including timesheets and payment;
- to keep accurate records and meet our legal obligations.
We keep candidate information after a particular role is filled so we can contact you about suitable roles in the future. If you'd rather we didn't, tell us and we will delete it or stop contacting you.
How we use AI in assessing candidates
We use an AI-assisted tool to help our consultants review CVs against position descriptions and to identify previously reviewed candidates who may suit new roles. The tool reads the information in your CV, including CVs already held in our recruitment system, summarises your skills and experience into a structured profile, keeps a text copy of your CV so a role's essential requirements can be checked against your full experience, and suggests how closely you match a role's requirements. Your profile and CV text are deleted from the tool if you ask us to remove them. Profiles built automatically from our recruitment system are also removed when your record there hasn't been updated for three years.
- A person always decides. The tool produces suggestions for our consultants. It does not decide who is contacted, shortlisted or put forward to a client; our consultants make those decisions.
- What it uses: the professional information in your CV and our notes, such as skills, experience, sector background, location, work rights, clearance, rate or salary expectations and availability.
- What it doesn't use: age, date of birth, gender, ethnicity, religion, family status, health, disability or photos.
You can ask us how the tool has been used in relation to you, ask a consultant to review your information, or ask us to remove your profile from it, using the contact details below.
Who we share it with
- Clients who are hiring, when you have agreed to be put forward for their role.
- Referees you nominate, to obtain references.
- Service providers who store or process information on our behalf, under confidentiality and security obligations. These include:
| Provider | What they do for us | Where |
|---|---|---|
| JobAdder | Our recruitment system, where candidate and client records are kept | JobAdder's hosting |
| Supabase | Database for our candidate assessment tool | Sydney, Australia |
| DigitalOcean | Hosting for our candidate assessment tool | Sydney, Australia |
| Anthropic (Claude) | AI model used to review CVs and suggest matches | United States |
| Voyage AI | Converts profile summaries into a form used for matching | United States |
We may also disclose information where the law requires or authorises it. We do not sell personal information.
Overseas disclosure
Some of our service providers process information outside Australia, principally in the United States, as shown above. We choose providers with appropriate security and contractual protections and take reasonable steps to ensure they handle your information consistently with the Australian Privacy Principles.
How we protect it
We use reputable providers, encrypted connections, access controls and multi-factor authentication, and we limit access to people who need it to do their job. Our candidate assessment tool stores only the information needed for matching: your structured profile and the text of your CV, held in Australia. No system is completely secure, but we take reasonable steps to protect information from misuse, loss and unauthorised access.
How long we keep it
We keep personal information for as long as it is useful for providing recruitment services to you, or as the law requires. We review the information we hold and delete or de-identify it when it is no longer needed. You can ask us to delete your information at any time.
Accessing, correcting or deleting your information
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Contact us using the details below. We will respond within a reasonable time, usually 30 days. If we can't do what you ask, we'll explain why.
